Timesheets

Timesheets are the labour lines from your Daily Log, totalled up. Hours get onto a daily log two ways: the site team writes up who was on site, or each person logs their own day on their phone and signs it. Either way, nobody enters the same hours twice.

Where the hours come from

Every Own staff & labour hire line on a daily log carries a start, a finish, and a meal break. The worked hours are derived from those three, so a correction to the day's entry flows straight through to the timesheet without anyone re-keying anything.

Hours are totalled per person and project, across the projects you have access to — so someone who moved between two jobs in a week shows up on both, with the split visible rather than merged.

Logging your own day

Open My Timesheet from the HR page (or from My Day if you're a Field Worker). Pick the project and your role, then build the day out of work and break blocks: each block has a start and a finish, and a work block carries the activity. The running work and break totals sit underneath.

When the day is right, tap Sign and Submit. The hours go straight onto that project's Daily Log as one labour line, even if the supervisor has already submitted and locked the day. Hours a person signed for themselves are counted as firm on the timesheet, not as draft.

A signed timesheet is payroll evidence, so the person it pays can't quietly unsign it. Only a company admin or manager can Reopen it, and reopening takes its line back off the daily log until it's submitted again.

The role list people pick from is set per company in Organisation Settings, under Timesheet roles.

Scheduling and leave

Admins and managers book people onto sites from Scheduling, a week or fortnight grid with each person down the side, including who isn't booked anywhere. Each person sees their bookings under My Schedule, and a new timesheet for a booked day fills in the site, role and shift times from it. Asking people to confirm or decline their bookings is optional, set per company.

Staff ask for time off from My Leave: Personal, Annual or Unpaid, for a run of days or a half day. Any admin or manager can approve or decline it from Leave Requests, with a note, and both sides get an in-app notification. Approved leave shows as a blocked day on the schedule.

Reminders

At a set time on working days (5 pm Monday to Friday unless you change it), anyone scheduled on a site that day who hasn't signed and submitted gets an in-app reminder. Only scheduled people are chased, so office staff aren't nagged, and approved leave days are skipped.

Once a week (Friday 8 am by default), admins and managers get a list of who still has scheduled days with no submitted timesheet. The times, days and timezone are set per company in Organisation Settings, under Timesheet Reminders.

Week or month

Switch the whole view between Week and Month buckets, and set a date range to bound it. The result is a pivot — people down the side, periods across the top, totals where they meet.

Week bucketing follows calendar weeks rather than a rolling seven days, so the numbers line up with the way payroll and progress claims are usually cut.

Draft hours are included, and flagged

Hours from daily log entries that haven't been submitted yet are counted — a timesheet that ignored them would under-report the current week almost every time, since the most recent days are usually still drafts.

They're flagged rather than hidden. If a total looks provisional, that's why: some of the days behind it aren't locked yet. Chase the submissions and the number firms up.

Export

Export the current view — same date range, same bucketing — as a CSV that opens cleanly in Excel. It's the file to hand to whoever assembles the progress claim.

For payroll, the company-wide Timesheets page also has Payroll CSV and Payroll Excel. They cover signed timesheets over the same date range, with one row per work block, per break and per approved leave day. A Paid Hours column already has the breaks taken out, so summing it gives the hours to pay. Narrow the file to one person with Payroll export for, or to the projects you've selected.

Leave rows pay the hours set as a standard leave day (Unpaid pays nothing, a half day pays half), and appear only in the company-wide file, since leave belongs to a person rather than a project. The column layout and the hours in a leave day are set in Organisation Settings, under Payroll Export.
