Fit-out runs on a two-week clock. Your defect tracking cannot lag it

Fit-out gives you two weeks a floor and three trades stacked on top of each other, so a defect you write up tomorrow morning is already behind the programme. Capture it at the wall, assign it in two taps, and close it before the next trade moves in.

A tenancy hands over on the Friday. The joiner is in on the Monday, the shopfitter the Wednesday, and the client walkthrough is booked for the end of that same week. That is a normal commercial fit-out programme: two weeks a floor, sometimes less, with three trades stacked on top of each other in a space that was bare slab a fortnight ago. On a job that tight, a defect process that takes until tomorrow morning to write up has already failed. The next trade is on the wall by then.

The write-up is the enemy

Most defect processes on fit-out are still a two-step. Someone walks the space with a notebook or a phone camera roll, and then that night, or the next day, someone turns those photos into a list. That gap is where the job goes wrong.

The bulkhead defect you photographed at 2pm gets written up at 8am the next day. By then the ceiling grid is in and the plasterer has gone home. Now the fix is a variation, a callback, and an argument about who pays. Not because the defect was hard. Because it sat in a camera roll for eighteen hours while the programme kept moving.

Fit-out does not give you eighteen hours. The whole point of the programme is that nobody waits. So the write-up cannot be a separate job that happens later. It has to happen at the wall, in the moment you see the thing.

Capture, assign, close, before the next trade

That is the standard we build to. You see the defect, you photograph it on your phone, and it is logged with a timestamp, GPS and the device metadata already attached. No write-up tonight. It is already written.

Then you assign it to a trade in about two taps, right there, so the shopfitter gets it before he starts on the run that the defect sits behind. Not in a spreadsheet you email at the end of the day. And you close it before the next trade moves in. That is the part fit-out gets right that other jobs let slide, because on fit-out you have no choice. If the caulking gap does not close before the tiler starts, it does not close at all. The whole loop, capture to close, has to fit inside the gap between two trades. On a two-week floor that gap is a day, sometimes an afternoon.

The base build has no signal, and you already know it

Here is the part that catches new fit-out crews out. The tenancy you are fitting sits inside a base build that is often nowhere near finished. Concrete core, no comms riser live, half the floor still a car park in spirit. You will be capturing defects in a back-of-house corridor or a riser cupboard with one bar of nothing.

A tool that needs a connection to save the defect will fail you in exactly that corridor. Photo half uploaded, list gone, and you back to the notebook. So the phone has to be the source of truth on its own. You capture the defect offline, it is saved to the device the second you hit go, and it syncs later when you walk back out to where the signal is. You are not meant to think about sync at all. We wrote more about why offline has to come first elsewhere, but on fit-out it is not a nice-to-have. The base build guarantees you will be working in dead zones.

Why the report matters here too

The reason all of this has to be fast is not tidiness. It is the handover. Fit-out ends in a defect report and a handover pack, and on a short programme that pack is due almost the moment the last trade steps off. If your defects have been captured on the spot the whole way through, with photos and timestamps attached as you went, the report is already most of the way built. The audit trail is just the record of what you already did. If your defects have been living in camera rolls and half-remembered lists, the last week of the job becomes a scramble to reconstruct a fortnight of work from memory.
